Location: Madrid, Spain (hybrid, remote and on-site)
Salary: Up to 40,000€ gross per year for the right candidate.
Start Date: Mid-January until end of April 2025, with potential to become a long-term role for the right candidate.
About the Role:
We are excited to be working with a young, successful and charismatic business man in the music industry who is seeking a kind, proactive and versatile Personal Assistant. The PA will play an integral role in managing personal responsibilities for a busy and dynamic employer, helping streamline his day-to-day operations. The ideal candidate will be an adaptable “Jack of all trades,” with a strong ability to juggle various tasks ranging such as household management, coordinating travel/calendars, managing an art collection and everything in-between, all while maintaining a calm and professional demeanor.
The position offers a combination of remote and on-site presence although initially, on-site will be required to receive a proper handover and become acquainted with the Principal’s home and needs. It is essential that the candidate possess a valid driving license and their own car.
The role will begin with assisting the Principal with his personal life, coordinating all aspects of the move into his new home in the San Martin area. The home will undergo refurbishments and redecoration, and the candidate must be exceptional at ensuring this process runs smoothly (contractors work within deadlines, furniture and deco is ordered and missing packages are tracked down, etc.)–The home must be fully set up by April 2025.
This is a full-time position requiring flexibility, with a focus on managing the employer’s personal life and house maintenance with the potential to evolve into taking on more responsibility to support his business ventures, including the management of large-scale music events and artistic projects. This role would suit someone youthful and energetic without many personal commitments.
Key Responsibilities:
- Manage the employer’s personal calendar, including scheduling meetings, appointments, and events.
- Coordinate home maintenance projects, including overseeing renovations, monitoring the housekeeper to ensure the house is kept in order, managing vendors, placing orders and tracking packages
- Assist with basic administrative tasks, including bookkeeping and expense tracking, ensuring personal and professional expenses are separated.
- Supervise household staff and assist in their training, ensuring smooth day-to-day operations at home.
- Handle personal tasks such as managing insurance documents, organizing medical appointments, remembering important dates and dealing with everyday errands. A “no task is too small” attitude is required
- Ensure the Principal’s collection of art is properly maintained, insured, and documented.
- Keep track of health and care of the Principal’s dogs (vet appointments, making sure vaccinations are up to date, etc)
- Support the organization and execution of events and personal engagements, ensuring everything runs smoothly.
- Coordinate and manage travel arrangements, ensuring the employer is always prepared for business and leisure trips.
Who We’re Looking For:
We are looking for an energetic, resourceful, proactive and adaptable individual who thrives in a fast-paced environment and is able to seamlessly take on any task at hand. The successful candidate will have:
- Fluency in Spanish and English (Japanese is a huge plus).
- Strong organizational skills with the ability to handle multiple projects simultaneously.
- Computer-literate and tech-savvy, experience using Asana is desirable
- A “can-do” attitude and the ability to anticipate needs before they arise.
- Proactive and hands-on, willing to get involved with both big-picture tasks and smaller, detailed tasks.
- A love for music, video games, comics and pop culture is a major plus.
- Previous experience in a similar roles or strong transferrable skills is essential (any experience in the entertainment industry is desirable, but not essential).
- A valid driver’s license and own vehicle are required.
- The ability to work flexibly, with working hours being Monday to Friday from 10 am to 2 pm and 5 pm to 9 pm, Monday to Friday, plus occasional weekend support when necessary although Principal reports he does not usually contact staff outside of working hours unless its an emergency.
