Job Overview:
An influential UHNW CEO is looking for an experienced Executive Assistant & Estate Manager to provide high-level support across all aspects of personal and professional life. This hybrid role is approximately 70% focused on executive support, with 30% of responsibilities dedicated to managing the Principal’s multiple estates across the United States and abroad. In this position, there are already dedicated teams in place to manage each estate. The successful candidate’s role in estate management will primarily involve general supervision and ensuring all teams meet the established standards and expectations
The successful candidate will thrive in a dynamic, fast-paced environment and will be the key point of contact between the CEO, household staff, and various stakeholders. This position requires a sharp, proactive, and highly adaptable professional who can seamlessly handle complex scheduling, team management, and property oversight with equal finesse.
Key Responsibilities:
– Executive Support: Manage a busy calendar, schedule high-level meetings, and coordinate complex travel arrangements. Prepare detailed itineraries and ensure the CEO’s time is optimized for both business and personal engagements.
– Property Oversight: Liaise with estate managers and property teams to ensure the smooth operation and maintenance of residences in New York, Los Angeles, Hawaii and international locations. Approve projects, renovations, and property upgrades as needed.
– Team Coordination: Oversee senior household staff across multiple locations, ensuring seamless communication and performance. Conduct regular check-ins to align on tasks, schedules, and operational standards.
– Event Planning: Assist with the planning and execution of private events, dinners, and business meetings, ensuring all logistics are meticulously arranged and managed.
– Vendor & Contractor Management: Source and coordinate with vendors and contractors for various services and projects, maintaining high standards of quality and timeliness.
– Confidentiality & Discretion: Handle sensitive information with the utmost discretion. Ensure that confidentiality is maintained in all personal and business matters.
Ideal Candidate Profile:
– Experience & Expertise: Proven experience in a similar role supporting UHNW individuals or top executives, ideally with a blend of both executive support and personal or estate management responsibilities.
– Attention to Detail: Strong organizational skills and an ability to multitask effectively while maintaining precision in all tasks.
– Communication Skills: Exceptional written and verbal communication skills. Must be comfortable liaising with a diverse range of individuals, from household staff to high-profile business partners.
– Problem-Solving Ability: A proactive and resourceful attitude, with the ability to anticipate needs, resolve issues independently, and present solutions with confidence.
– Flexibility: Willingness to travel occasionally and accommodate irregular hours when necessary. Adaptability to shifting priorities is essential.
Qualifications:
– Proven experience as an Executive Assistant, Estate Manager, or in a similar role for a UHNW client.
– Bachelor’s degree in Business, Management, or a related field is advantageous but not essential. Personality, experience, and practical skills take precedence.
– Fluent in English; additional languages are a plus.
– Strong proficiency in Microsoft Office and other relevant tools.
– Right to work in the US essential (citizenship, green card), candidates who do not align with this cannot be considered.
