Overview:
We’re looking for a proactive, organised, and polished Executive & Personal Assistant to support a successful Swedish legal consultant and entrepreneur based in Marbella. The Principal has an expanding portfolio of business ventures across Europe primarily in the gaming sector, and is now seeking his first dedicated assistant to bring structure and order to both his professional life (c. 80%) and private affairs (c. 20%).
This is a high-trust, long-term position for someone who thrives in a fast-paced, international environment and enjoys bringing structure to complex, entrepreneurial setups. While the role is primarily focused on business support, it includes elements of personal assistance (planning themed events, coordinating family travel, etc.) and the balance may shift depending on the season or business demands.
It’s a great opportunity for someone with a background in EA/PA or operational support who’s ready to take initiative, bring fresh ideas, and implement systems with minimal hand-holding. The ideal candidate is proactive, adaptable, and confident managing both business and private matters with equal ease.

Key Responsibilities:
Business Support (80%)
- Manage inbox and calendar across multiple companies and office locations.
- Book meetings, travel, and accommodation for business trips.
- Liaise with the EA at the Maltese offices and ensure seamless communication across the group.
- Organise group structures and documents, keep digital files in order, and assist with KYC and compliance-related admin.
- Help streamline operations and bring clarity and structure to ongoing business activities.
- Occasionally travel for business events (e.g., Malta, Lisbon, Las Vegas).
Private Support (20%)
- Plan private events and themed parties (20–60 guests).
- Support occasional school admin or logistics for two children (ages 9 and 12).
- Prepare travel itineraries and book family activities.
- Offer input and assistance on personal shopping, style guidance, and wardrobe planning (a flair for fashion is a big plus).
- Run occasional errands (a driving license is essential; a car can be provided if needed).
Requirements:
- Strong organisational and communication skills; naturally detail-oriented and proactive.
- Fluent in English; Spanish is a strong advantage but not required.
- Excellent tech and admin skills (Office, Google Suite, calendar management, email handling).
- Discreet, self-sufficient, and ready to take initiative without constant supervision.
- Flexible and comfortable with occasional weekend work (max. once per quarter).
- Prior EA/PA experience supporting a busy executive or similar is essential.
- Driving license required; own car preferred (though one can be provided for work use).
- Candidate must already be in Marbella and have the right to live and work in Spain. Non-local (Malaga area) candidates will not be considered.
